Events and Channels

Premise: Indian hospitality decision-making is relationship-driven. Events are the highest-leverage way to make 200 relationships in 3 days. They are also expensive — every event has a measured ROI target.

2. Event ROI playbook — how each event must justify itself

Every event has a pre-defined target. Post-event review evaluates:

MetricAnchor targetRegional targetHosted target
Qualified conversations200+50+150+
Demos booked (during/post)25-4010-1525-50
SQLs in 90 days30+15-2050+

Cost per closed-won ₹< 15%< 15%< 12%

Anything that fails its target two events in a row is dropped or restructured.

3. Anchor event playbook — how we show up

Pre-event (4-6 weeks out)

  • Confirm sponsorship + booth specs
  • Design booth (use KeyNova brand standards — Midnight Sovereign palette + Satoshi)
  • Order branded swag (deck of cards, pen, notebook — high-quality not cheap)
  • Identify 5 customers attending the event → bring as panel/booth speakers
  • Identify 25 target accounts attending → reach out for pre-meeting
  • Submit speaker abstract (we want a session, not just a booth)
  • Book hospitality dinner (separate from event hours) — 25 invited guests
  • Pre-event LinkedIn campaign tagged #HICSA2026 / similar

During event

  • 6-person crew: CEO + VP Sales + CMO + 2 AEs + 1 SE
  • Booth staffing 100% (1 lead, 2 demos in rotation, 1 swag/lead-capture)
  • Lead capture via tablet, syncs to Salesforce real-time
  • 30-min keynote / panel slot
  • Hosted dinner Night 2 — exclusive
  • Customer references on the booth (live, "talk to a real user")
  • Social media live coverage

Post-event (2 weeks)

  • Lead handoff to SDR/AE within 48h
  • 100% of leads contacted within 5 business days
  • Event-specific landing page with content downloads
  • Recap blog post within 5 days
  • Post-event email to attendees (NPS + content recap)
  • Internal retrospective + numbers vs targets

4. The "owner roundtable" format (highest-conversion event)

Why it works

Owners don't trust marketing presentations. They trust each other. The roundtable is not a sales event — it's a curated peer conversation that establishes us as thought leaders.

Structure

  • 12-20 owners invited (we filter for fit)
  • 3-hour evening in a hotel meeting room
  • 30 min welcome + intros
  • 90 min facilitated discussion on a hot topic (rotating: GST e-invoice, RM, OTA dependency, staffing)
  • 60 min dinner + open conversation
  • KeyNova brand low-key — only the venue badging
  • 1-2 KeyNova execs attend, but as participants not presenters
  • No demo, no pitch, no slides
  • Follow-up: each attendee gets a personal email from a KeyNova exec the next day, referencing one thing they said

Conversion path

  • Average roundtable produces 6-8 hot leads from 15 attendees
  • Of those, 3-4 close within 12 months
  • 1 of those typically becomes a reference customer

Cost

  • ₹2-4 lakh per event
  • Per-SQL cost: ~₹25k
  • Per-closed-won cost: ~₹50k
  • Best ROI of any marketing channel

Q3 FY26Content scale, owner roundtables, regional eventsOOH

13. Anti-patterns we avoid

Anti-patternWhy we avoid
Booth-only at eventsBooths alone don't generate enough leads; we always pair with speaker + dinner
Generic conference swagCheap swag = cheap brand; quality over quantity
"Sponsor a session" without speaking slotPure logo placement is bad ROI
Email blasts with cold listsTrashes domain reputation + brand
Sponsored "thought leadership" with no insightAudiences detect paid fluff
Influencer campaigns without conversion trackingVanity spend
TV ads before product-market fitBurns cash without conversion infrastructure
Stunts without business outcomeCostly, off-brand

14. Internal event ops checklist

For every event ≥ ₹5 lakh:

  • Pre-event KPI targets agreed by CMO + VP Sales
  • Booth design reviewed against brand book
  • Speaker abstract submitted
  • Hospitality dinner booked
  • Pre-event marketing campaign live (2 weeks out)
  • Sales team briefed + invited to attend
  • Lead-capture mechanism tested
  • Customer attendees identified and invited
  • On-site demo environment tested
  • Post-event 5-day report SLA agreed
  • Lead follow-up SLAs set with sales
  • Retrospective scheduled
